Position Purpose

The Director of Advancement Services and Information Systems position is responsible for preparing all reporting in support of advancement activities, systems documentation, records maintenance, use and support of computer-based information systems, and directing Advancement Services staff providing leadership and management for gift accounting, prospect research, moves management, and data management. Reporting to the Vice President of Development and External Relations, the Director of Advancement Services and Information Systems works with Development and Alumni Relations to support, develop, and improve advancement business processes; ensure effective knowledge management and business intelligence; and both spearhead and manage related projects. The Director evaluates and documents business requirements, maintaining a thorough understanding of Advancement-relevant business functions. Responsible for implementation of Advancement Banner Module and tracking project outcomes in terms of quality, accuracy, and timeliness.

Leads and executes the functions of the Office of Advancement Services to include database management, gift processing, prospect research and management, Advancement reporting / business intelligence, and the continuous improvement of all processes and systems.

Job Function

Oversee the Advancement module in Banner to ensure that data quality and standards are maintained in accordance with Advancement policy, University policy, and industry best practices.

Job Function

Develop effective reports to support all Advancement functions (gift processing/accounting, prospect research, prospect management, event management, front-line development, etc.), general trending/analytical needs, and mailing list development. Produce the lists and reports necessary for university, college, and department initiatives.

Serve as a liaison with the Administrative Computing Department.

Job Function

Serve as Database Security Officer for the advancement division’s Banner module. Control database access and maintain integrity of confidential information. Supervise and maintain database rules, and monitor security of constituent information.

Coordinate data loads from various internal and external systems (including, but not limited to, the Alumni web site, NCOA vendors, and other Banner modules).

Knowledge, Skills and Abilities

Must be able to engage in independent problem solving, prioritize tasks and organize projects to accomplish goals.

Must have demonstrated proficiency/ understanding of complex table structures used in Enterprise Resource Planning (ERP) systems. Basic understanding of SQL preferred.

Must have demonstrated experience in the development of Advancement reports

Knowledge of a wide variety of software is of significant importance, with the ability to train users in the most effective use of this software.

Must have ability to analyze data to make decisions and recommendations and prepare reports for leadership

Must possess creativity, strong communication, writing, organizational, diplomatic, and human relations skills.

Must have strong presentation skills in group and one-on-one settings

Must be responsive, empathetic and responsible in meeting a variety of customer personalities.

Ability to supervise and manage staff members in meeting performance expectations and fulfilling the needs of the University.

Experience working in a fast-paced environment and the ability to respond to high-pressure situations. Ability to thrive in an environment of hard work.

Ability to work effectively with a wide range of constituencies in a diverse community.


Three to five years’ experience in Advancement Services or Project Management with integrated database related projects required

Three to five years’ experience using Enterprise Resource Planning (ERP) software, Ellucian (Banner) strongly preferred

Experience within a University required.
Experience within an University Advancement area preferred


Bachelor’s degree in Business, Information Technology, or related field required. Master’s degree preferred.
